No matter the type of audit you are involved in it is essential that it
starts and finishes well.
AUDIT CLOSEOUT
This is a means by which observations and NCR (Non Conformance Report)
are sorted out according to the existing standard.
The following are some of key aspects of audit closeout:
- · The auditees should bear in mind that the audit is to add value and promote improvements. This is not a witch hunting adventure.
- · The auditees should understand that Non-Conformities are given against a clause of the standard being audited and as such should not been taken personal in any way.
- · Both the auditors as well as the auditees should remember that audit is not just to highlight weaknesses and failures but more importantly to identify the strength of the operating QMS.As such, recommendations should be given when appropriate.
To support the quality system’s continued effectiveness, every root
cause of non-conformance should be put right. Failure to do this puts the
certification in jeopardy.
After every audit there is always the need for corrective actions to be
taken to address issues raised. If the corrective action is effective and thus
brings the existing process in line with the acceptable standard practice, we
say that the audit has been closed out.
Everyone involved in audit closeout should take cognizance of the
closeout window and thus work within the allotted time frame.
In carrying out closeout, issues involved should be addressed rather
than the persons involved.
All stake holders should be involved; both top management and all
should be made to know what role they have to play: all hands must be on deck.
